Privacy Policy

Last updated: October 2026

Vow ("we", "us") helps couples plan their wedding and communicate with guests. This policy explains what personal data we collect, why, and how you can control it.

What we collect and why

| Data | Why | Basis | |------|-----|-------| | Names, email, phone, address | To manage the guest list, send invitations and communicate about the wedding | Legitimate interest of the couple | | RSVP answers (attending, meal choice) | So the couple can plan the event | Legitimate interest | | Dietary notes and allergies | Shared with the couple and caterer to prepare safe meals | Your explicit consent (checkbox on the RSVP form) | | Travel details (flights, hotel, transport) | To help the couple arrange transfers and accommodation | Legitimate interest | | Room assignments | So the couple can assign hotel rooms | Legitimate interest | | Seat assignments | So the couple can plan the seating chart | Legitimate interest | | Photos (if the shared album is enabled) | So guests can share memories with the couple | Legitimate interest; you can delete your own uploads |

Who processes your data

| Service | Role | Location | |---------|------|----------| | Supabase | Database and file storage | EU (recommended; check your project region) | | Vercel | Hosting and serverless functions | Edge network (EU and US) | | Resend | Sending emails | US | | Unsplash | Stock photos on inspiration boards (no guest data is sent) | US |

Each service has its own privacy policy and acts as a data processor under a standard Data Processing Agreement.

How long we keep your data

Guest personal data is automatically anonymised 12 months after the wedding date, unless the couple deletes the wedding sooner. The couple receives a reminder 30 days before anonymisation.

After anonymisation, your name, email, phone, address, dietary notes and travel details are removed. An anonymous placeholder remains so the couple's guest counts stay accurate.

Your rights

From your personal RSVP link you can:

  • Download your data as a JSON file
  • Delete your data — your personal details are removed and replaced with an anonymous "Guest removed" entry; the couple is notified

You can also contact the couple directly to request access, correction or deletion.

Under the GDPR (if you are in the EU/EEA), you have the right to access, rectify, erase, restrict processing, data portability and to object. To exercise these rights, contact the couple or email the address shown on the wedding website.

Cookies

Vow uses only essential cookies for login sessions. No analytics or tracking cookies are used. If analytics or affiliate cookies are added in the future, a consent banner will appear first.

Emails

Every reminder email includes an unsubscribe link. Unsubscribing stops all future reminder emails for that wedding. Initial invitations do not include an unsubscribe link, but you can unsubscribe from any subsequent emails.

Changes

We may update this policy. The "last updated" date at the top will change. For significant changes, we will notify the couple, who can inform their guests.

Contact

If you have questions about your data, contact the couple through the wedding website or the email shown on your invitation.
